The challenge

The Warehouse Group had a planned in-person, arena-style agile transformation event for 1,000 employees. With two weeks to go, New Zealand's COVID-19 lockdown forced a pivot to a fully virtual experience without losing engagement or impact.

What we did

  • Co-created a dynamic two-day virtual bootcamp using Zoom, Miro, and Microsoft Teams
  • Designed 'The Lockdown Game of Life', a team-based agile simulation for up to 14 people per team
  • Ran two-sprint exercises where teams identified customers, framed problems, and ideated solutions
  • Built agile curveballs (like stock shortages) into the game to simulate real-world adaptation
  • Delivered sprint retrospectives and iteration feedback for hands-on agile learning

What changed

  • 1,000 employees engaged and collaborating across the virtual bootcamp
  • Enhanced team cohesion and trust across departments despite remote working
  • Set a new benchmark for virtual agile events in NZ, proving physical limitations could become opportunities for innovation

Challenge: Pivoting from Physical to Virtual Amid Lockdown

In early 2020, The Warehouse Group (TWG) faced an unexpected challenge: transitioning a planned in-person, arena-style agile transformation event into a fully virtual experience. The original event aimed to engage 1000 employees through hands-on workshops and interactive activities, fostering agile methodologies across teams. With only two weeks to adjust, and New Zealand's strict lockdown restrictions in place, TWG needed a partner that could deliver a comprehensive, innovative solution.

Solution: Reimagining Team Collaboration with Agile Principles

Five New Zealand stepped in to co-create a dynamic two-day virtual bootcamp, blending agile frameworks with digital tools like Zoom, Miro, and Microsoft Teams. Our approach focused on maintaining the engagement and interactive spirit of the initial plan while embracing the flexibility of a virtual environment.

Central to the bootcamp was "The Lockdown Game of Life," a unique challenge designed to simulate real-world agile practices. Each team of up to 14 participants aimed to improve the remote working experience for Kiwis. Through two sprints, teams identified target customers, framed problems, and ideated new solutions. Along the way, they encountered agile curveballs—like stock shortages—requiring quick adaptation and pivoting.

Results: An Immersive Experience that Redefined Virtual Collaboration

The virtual event exceeded expectations. TWG employees remained engaged, collaborative, and inspired throughout the bootcamp. They experienced:

  • Enhanced Team Cohesion: Despite working remotely, employees from various departments built trust and aligned around common goals, fostering a culture of mutual support and open communication.
  • Real-Time Problem Solving: Through iterative processes and sprint retrospectives, participants gained hands-on experience in applying agile methodologies to real-world challenges.
  • Improved Innovation Mindset: The exercise encouraged teams to think beyond traditional solutions, embracing a mindset of experimentation and rapid iteration—key tenets of agile.

One participant described the experience as "a window into a new world of possibilities," where even a virtual setup could generate the same energy and camaraderie of an in-person event.

Why It Matters: Pioneering New Standards in Digital Transformation

This agile bootcamp set a new benchmark for virtual events, proving that with the right approach, physical limitations can become opportunities for innovation. For TWG, it was more than just a successful event - it was a transformation in how the organisation approached challenges and embraced change.
